Planning your tents & accessories rental

Sizing a tent for your guest count

As a working rule, allow around 10 square feet per guest for seated dining at round tables, and closer to 8 for standing receptions. Then add space for anything that isn't guests — a dance floor, a bar, a buffet line, a stage. Those extras are what most people forget, and they are the usual reason a tent ends up feeling tight.

Frame, pole, or clear top

Frame tents have no interior poles, so the space under them is completely usable and they can sit on almost any surface, including pavement. High peak pole tents have center poles but a more dramatic silhouette and work beautifully on open lawns. Clear top tents are for evening events where you want the sky visible — worth knowing that they heat up considerably in direct daytime sun.

Flooring, sides, and climate

On uneven or soft ground, flooring is worth the cost — it keeps heels and table legs stable and stops the whole setup sinking after rain. Sidewalls and liners let you close the tent in and dress it up. For events outside the summer months, heaters are only rated for enclosed tents, so plan sides and heating together rather than separately.

Site access, permits, and timing

Tents need a clear, reasonably level footprint and enough room around the edges for staking or weighting. We'll need to know whether the surface is grass, gravel, or pavement, and whether utilities run underground. Some municipalities require a permit for larger tents — ask us early and we'll tell you what your site needs. Tent installs are scheduled ahead of the event day, not the morning of.
